Are your systems and processes documented?

So what does this have to do with saving you time, getting you to your goals, being more productive…you might be asking?

Because if they are documented…

You now have two options available to you that you didn’t really have before…

1 – To be able to keep your business going more or less whilst you are unwell, or in a situation that renders you unable to work – so you are still being productive, even when unavailable

2 – To be able to delegate much more easily and effectively and still get the quality of the results that you would be able to produce if it were you doing it – freeing you up to be able to produce somewhere else.

And both of these options help with producing results, in the most effective way, with the time that you have.

And without them, you will likely either struggle to keep producing in your business whilst you are not available to work in your business, or you will struggle to find someone who can do as quality a job as you if you do hire someone.

And I learnt both of these lessons first hand in my campsite business.

So do you have your processes written down somewhere? Would someone know how to step in, if you asked them to, just for a day? If you became unwell, would it be easy for your family to find the contact details of your clients, and cancel their sessions?

Do you have how you do your marketing, your sales, your back-office stuff written down, so that you could potentially outsource if you wanted to?

Or would you spend most of your time trying to explain it?

Now, you might resist this as an exercise, if you are a fairly new business, if you haven’t yet found a process of system that works for you, that is generating results consistently, or that is organised enough to be called a process.

And I completely understand. And I don’t think you need them when you first start out but as soon as you get to the place in your business where you are doing things fairly regularly, in the same way again and again, and you know roughly what your processes are – it’s time to map them out to look for areas to improve on efficiency, and then jot them down as ‘temporary SOPs’.

They don’t have to be immaculate. They don’t have to be extensive. You can build on them as you grow.

And if you are smart, and you hate doing these kinds of organisational tasks, then delegate them to someone who loves them. That’s what I did.
